"Under The Lights"  Coordination Tasklist
  1. Soccer Club Selects Coordinator for "Under The Lights"  or approves volunteer
  2. Coordinator contacts Athletic Director  ( one month or earlier prior to season )
    1. Pick Home Date for event
    2. Determine Time of game
    3. Determine when "Under the Lights" will take place - preferably before game
  3. Coordinator/Soccer Club determines nature of "Under the Lights" ceremony ( one month before season )
    1.  Includes all community soccer teams (AYSO, USSF, premier?, Men's?, Women's?)
    2. Players in uniform get in free?
    3.  (40 minutes prior to start of game) - Teams (AYSO, USSF, Premiere players) start arriving and gather with their teammates at south end of stadium.
    4.  (30 minutes prior to start of game)-6:30 Each team is at south end of stadium with all their Teammates and Coaches and ready to enter the stadium
    5. An Usher will lead the teams onto the field. (will need at least 3 Ushers)
    6. Teams will line up along the touchline facing the east (home)bleachers.
    7. When all teams are on the field, each team will be announced (Team Name and Coach Name) on the PA System.
    8. As team is announced, players from that team should wave to thespectators
    9. After all teams have been announced, Ushers will direct teams to form a gauntlet at midfield (that is, the teams will come down the sidelines to midfield and than move across the field to the opposite touchline,and line up on either side of midfield facing each other (about 5 yards apart).
    10. High School Players will be announced one at a time and run the gauntlet.
    11.  After High School Players are announced, All teams will move off the playing field for the National Anthem. We would like all teams to line up on the Grass between the touchline and the track field. Please keep your teams away from the Players benchs and keep them off of the track (especially any players that may be wearing cleats)
    12.  Once the National Anthem is complete, please exit at the south end of the field.
  4. Coordinator reviews the proposed "Under the Lights" ceremony with Athletic Director (2/3 weeks prior to game)
  5. Coordinator makes any necessary adjustments to ceremony
  6. Coordinator insures that Newspaper articles are run promoting the event.
  7. Coordinator asks AYSO rep to contact AYSO teams, USSF rep to contact USSF teams(2/3 weeks prior)
  8. AYSO rep contacts AYSO teams
    1. Informs Coach's of "Under the Lights" date/time and ceremony
    2. Gathers Team names and Coachs names
    3. Team/coach info given to Coordinator
  9. USSF rep contacts USSF teams
    1. Informs Coach's of "Under the Lights" date/time and ceremony
    2. gathers Team names and Coachs names
    3. Team/coach info given to Coordinator
  10. Coordinator finds Announcer for night of the event (Priority to a Senior's Parent)
  11. Coordinator finds Ushers for night of the event (at least 3)
  12. Announcer needs to be trained on use of PA
  13. Coordinator finds Ushers for night of the event
  14. Ushers  need to be at south end of the field to line up the kids in proper order and tell them what to do.
  15. Coordinator verfies event/time/location one week prior to scheduled date and informs if any change
  16. Day Before event/Day of event, The Coordinator should
    1. Confirm event is still being held (cancellation, weather, etc)
    2. Verify that PA system works
    3. Verify that a US flag will be available
    4. Verify that cashier knows appropriate fees for players in uniforms (assumes a deal was arranged with Athletic Director)
    5. Give Team Lists to Announcer
  17. After Event
    1. Coordinator ensures that Thank-you letter is published in local papers
Outstanding Questions:
  1. What about asking High School Band to perform National Anthem?
  2. What about inviting local papers to send reporter/photographer to event (Argus, Weekly, Informer)
  3. What about a tailgate party before the game?
